As an Assistant Property Manager, you’ll collaborate closely with our Property, Finance, and Legal Teams. Your pivotal role involves assisting the company in managing various commercial, retail, and industrial properties. You’ll also ensure that key performance indicators contained within the Management Agreements for those properties are met

Responsibilities will include but not be limited to the following:

Administration:

  • Provide monthly reporting for the property as noted in the Management Agreement and to the Client’s directives.
  • Actively manage rental arrears and provide regular reports to the Asset Manager.
  • Review and monitor Tenant Information Forms (TIFa), lease audits, and carpark management.
  • Ensure billing accuracy and implement lease term increases and charges.
  • Approve and arrange timely payment of building-related invoices within the delegations of authority.
  • Provide comprehensive administrative support to the Facilities Management team, including raising purchase orders (POs) and coordinating invoices.
  • Coordinate and assist in inspections, providing advice as needed
  • Identify and resolve building-related issues, including function, appearance, cleanliness, security, and contractor management.
  • Assist in contract administration, procurement, and management.
  • Coordinate invoices in conjunction with the Property and Facilities Management team.
  • Prepare and distribute reports, correspondence, and presentations as required.
  • Assist in the preparation and monitoring of departmental budgets and expenses
  • Perform general office duties such as answering phones, filing, and organising documents.

Process Management:

  • Maintain detailed tenancy schedules and ensure up-to-date insurance.
  • Conduct data analysis on sales, door counts, traffic figures, and marketing initiatives.
  • Handle tenant correspondence efficiently.

Relationship Building & Communication:

  • Work closely with tenants to address complaints or requests.
  • Maintain open communication and clear delegation of tasks and information.

Additional Responsibilities:

  • Optimise portfolio performance.
  • Monitor tenant compliance with lease obligations.
  • Manage and direct tenant queries.
  • Build strong relationships with stakeholders.
  • Provide support to Property and Facilities Management teams as needed.

Are you someone with?

  • Tertiary qualifications in real estate or a related field (preferred but not essential).
  • Experience in commercial property management/Facilities Management (preferred but not essential).
  • Excellent verbal and written communication skills.
  • Exceptional attention to detail and time management skills.
  • Ability to work autonomously and as part of a team.
  • Proficiency in MS Office platforms.
